The critical objective of the “monitor and control” phase is to monitor the quality of deliverables and control project constraints. As indicated in the phase graphic above, this phase happens concurrently and iteratively with the “execute” phase; activities from these two phases feed into one another in a mini-cycle within the larger migration process.
A migration team moving through the “monitor and control” phase will monitor ongoing project success, including creating project status reports and updating the project management plans and any project schedules. They will also capture ongoing project meeting agendas and notes to document what issues the project team is discussing as the project unfolds. The team will also adjust the direction of migration as needed based on the monitoring activities; they will create project change requests if a change is determined to be necessary, and they will also update business process and standard operating procedures (SOPs) on an ongoing basis. The team will also keep a risks, actions, issues, decisions (RAID) log to ensure that ongoing challenges and key priorities are captured.
